Managing Spam

Unfortunately spam is a reality of using Email. There are a number of different ways to manage the spam email messages that are sent to you.

In Outlook

Junk Email Option
If you use Microsoft Outlook to download and read your email you can manage the spam that comes into your inbox by selecting Actions > Junk Email > Junk Email Options in Outlook. You can decide the level of filtering and what happens to the messages that Outlook determines are probably spam.

Sorting Items Labeled As SPAM Into Folders
If you have purchased the SVS spam filter then it labels all spam as LOW, MEDIUM or HIGH. You can create a folder and instruct Outlook to drop any emails with the words LOW SPAM, MEDIUM SPAM and HIGH SPAM in the subject line to be directed to that specific folder.

You can make many rules and have them do a variety of things. As an example, I collect my emails with LOW SPAM in the subject line into a Low Spam folder and I keep my eye on this folder daily. However for emails that come in with MEDIUM SPAM or HIGH SPAM in the subject line, I have them automatically go to my Deleted Items folder and check in on that folder once per week.

Please note that this option would require the SVS server to be installed (see below) so that messages come into Outlook marked with the appropriate subject lines.

At the server - Spam Filtering (SVS)
If you want more thorough spam/virus filtering done at the server before it even reaches your inbox, then you have the option of purchasing an additional spam protection package. This solution filters all email before it hits your inbox and marks and files them appropriately based on the likelihood of them being spam, allowing you to recover legitimate messages when necessary.

In WebMail
If you log into your email through your web browser you can manage spam in a similar way. Please note this functionality requires the SVS spam filter to be installed (see above) in order for it to work. When you log into the SmarterMail web client, click on Settings > My Spam filtering. Click on "Override spam setting for this account". Then click on "Actions" and then I would suggest starting with sending "High Probability of Being Spam" messages to the junk mail folder to start and see if that has the desired effect. The lower the probability of being spam, the more likely that legitimate emails would go to junk folder, so that's why I suggest starting with just the highest level first.
